Multiple extensions in one suite have different physical directory numbers when checked out

It is a hotel setup. 

There are four telephone sets in one suite. When the suite is checked in , all the extensions display one single extension, suite number and also when any of the set calls the other extensions, they get the main number on the display.

But when the suite is checked out. All the extensions cannot be reached by a single number. All the extensions have to be called individually . Also if someone from housekeeping goes to bathroom and calls any extension of the system, it shows the directory number of bathroom set, which confuses the receiver , as to where is the location and which room/suite number the maintenance team is calling from.

Is there any way to call all the extensions using one number, even when the suite is not checked in and also when any telephone set from suite calls , it shows the suite number and not the individual directory number.
